AI feels overwhelming for many SME owners. Here is how to approach automation step by step without surprises or wasted budget.
Why AI still feels out of reach for many SME owners
CBS figures show that AI adoption among Dutch businesses is rising, but a large share of SMEs deliberately keeps its distance. The reason is not reluctance, but uncertainty. What does it cost? Where do you start? What if it goes wrong? And does it actually work for a business our size?
Those questions are understandable. In the media, AI is alternately presented as a miracle solution and as a threat. Neither frame helps you if you simply want to know whether your quote process can be smarter.

The language is written for insiders
AI conversations quickly move to RAG, LLMs, vector databases, API connections and orchestration layers. As a business owner you want to know what comes out of it for you, not how the engine works. That mismatch between technical jargon and practical need causes many entrepreneurs to drop out before they have even started.
The examples do not apply
Most AI cases involve large companies with data platforms, separate IT departments and million-euro budgets. An installation company with twelve employees, a marketing agency with five people, or a physiotherapy practice with two locations does not recognise itself in those stories.
Fear of wasted budget
SME owners cannot afford a failed technology project. An expensive implementation that half works or that nobody uses is painful. That fear is legitimate, but it resolves itself when you flip the approach: start with the problem, not the tool.
The right order: problem first, technology second
The biggest mistake in AI implementations is looking for a problem that fits a technology, instead of looking for the technology that fits a problem. That leads to expensive pilots that solve nothing.
The better order:
- Map where time and revenue are leaking. Think of manual lead follow-up, manually sending reminders, copy-paste work between systems, or questions customers ask over and over again.
- Choose one concrete process to start with. Not automating the entire business at once, but doing one thing well.
- Then decide which technology fits. Sometimes that is a simple workflow in n8n. Sometimes an AI agent that answers WhatsApp messages. Sometimes a connection between your CRM and your accounting system.

- A concrete process that costs too much time or goes wrong too often
- Willingness to describe that process clearly
